One holds six boxes a shelf and one holds one. If what you are storing is paper, that is most of the decision.

The short answer

If you are storing paper, buy the cabinet. If you are storing books and things you reach for weekly, buy the shelving. The deciding number is the published shelf load: a steel office cabinet carries 120 to 180 lb per shelf, and the best shelving in our set carries 60. At roughly 30 lb per full banker's box that is six boxes against two, and the second number is the one that disappoints people.

The arithmetic

What a box of paper actually weighs

A standard letter-size banker's box holds about 2,500 sheets

2,500 sheets of 20 lb bond weighs about 25 lb

Add the box: a full banker's box is about 30 lb

Which works out at about 1.5 lb per linear inch of upright files

So a shelf rated at 30 lb holds ONE box, not three

And a 5-tier unit at 30 lb per shelf holds about 150 lb total, or five boxes across the whole unit

Depth is the second deciding spec, and it is easier to check

A letter-size banker's box is about 15 in wide, 12 in deep and 10 in high. For it to sit on a shelf front-on, the shelf has to be at least 12 in deep and preferably 14.

Steel cabinets are 16 in deep. Cube shelving is 14.57 in. Tiered bookcases are 10.2 to 11.81 in. So a box does not fit on a bookcase whatever its load rating says, which makes the 33 lb figure academic. Check the depth first: it rules things out faster than the load does.

The fair case for shelving

We have led with the load figures because that is where the disappointment happens, but shelving wins genuinely in several places.

  • Everything is visible. For reference material you use weekly, a closed door is friction. People stop opening cabinets.
  • Cheaper per bay. The Furinno 8-cube gives eight bays for 80 dollars. A 72 in cabinet gives five shelves for 118.
  • It looks like furniture. In a spare bedroom that doubles as a guest room, a cube unit is fine and a gray steel locker is not.
  • It is reconfigurable. Both Furinno units stand tall or lie long, which is two pieces of furniture from one purchase.
  • Fabric bins give you closed storage where you want it, for about 10 dollars a bin, and you choose which bays.

The fair case for a cabinet

  • Load, by a factor of three to six. If the contents are paper, this is decisive and nothing else on this page outweighs it.
  • Dust and light. Paper and photographs degrade in daylight, and open shelving collects dust that gets into everything.
  • A lock. Two cabinets here publish a 3-point locking system, which is a better mechanism than anything on a file cabinet.
  • Adjustable shelves with real capacity. One tall bay for a printer and three short ones for boxes, each still rated to 180 lb.
  • A published gauge. INTERGREAT publishes 0.88 mm steel, which no shelving maker offers an equivalent of.

The decision, in four questions

  1. 01Is what you are storing paper in boxes? Yes, cabinet. The load rating decides it and nothing else comes close.
  2. 02Do you reach for it weekly? Yes, shelving. A door you open daily is a door that stays open, and then you have a shelf with a door hanging off it.
  3. 03Does the room double as something else? Yes, lean shelving, or a short cabinet with a surface on top. A 72 in steel cabinet dominates a guest room.
  4. 04Is the wall under 30 in wide? Then neither standard format fits well, and storage for a small home office covers what does.

What the specs are good for

  • Publishes the steel gauge at 0.88 mm. Nobody else in this hub publishes a gauge, and it is what separates a cabinet from a tin box

Skip this if

Is a storage cabinet or shelving better for an office?
Cabinet for paper and anything heavy, because published shelf loads are 120 to 180 lb against shelving's 30 to 60. Shelving for books, reference material and anything you reach for weekly, because visible access beats a closed door for frequently-used items.
Can office shelving hold boxes of paper?
Cube shelving at 60 lb a cube holds about two full banker's boxes per bay. Tiered bookcases at 30 to 33 lb hold about one, and at 10 to 12 in deep most will not take a box front-on at all, which makes the load rating academic.
How deep should office storage be?
At least 14 in if banker's boxes or lever-arch files are going in it. A letter-size box is about 15 by 12 in. Steel cabinets are typically 16 in and cube shelving 14.57; most bookcases are 10 to 12 and will not take one.
Is a storage cabinet worth the extra money?
Per bay it is more expensive. Per pound of capacity it is far cheaper: 180 lb a shelf against 60. If the contents are heavy, the cabinet is better value as well as more capable.
Can I use both in one office?
It is usually the right answer. A short cabinet for the archive and shelving for what you use weekly costs about 164 dollars together, takes two different parts of a wall, and solves two different problems properly rather than one badly.
